Executive Assistant

We are looking for an Executive Assistant to assist the President and Executive Vice President.

Position Summary

The Executive Assistant will oversee the day-to-day activities of the Office of the President and the Office of the Executive Vice President. This person will act as the primary point of contact for both internal and external constituencies on all matters pertaining to the organization, and assist and represent the President/Executive Vice President in communicating with constituents; researches, prioritizes, and follows-up on multiple issues and concerns addressed to the President/Executive Vice President, including those of a sensitive and/or confidential nature. Managing a variety of special projects, some of which may involve media, search marketing, and Internet knowledge.

Qualifications

  • 3 to 8 years related to the duties and responsibilities specified
  • Four year college degree or equivalent experience
  • Exceptional oral and written skills
  • Strong secretarial and organizational skills
  • Exceptional common sense

Duties and Responsibilities

  • Serve as the primary point of initial contact on any matter directed to the Office of the President/Executive Vice President; independently researches and prioritizes incoming issues and determines appropriate course of action, referral, and/or response.
  • Organize and coordinate meeting schedules.
  • Receive, screen, and evaluate all written correspondence received by the President/Executive Vice President; independently formulate and disseminate written responses as appropriate.
  • Oversee and coordinate the day-to-day operations of the Office, scheduling and prioritizing work assignments, and implementation of effective operating policies, procedures, and systems.Keeping our Internet presence fresh.
  • Oversee the planning and coordination of all special events for the President/Executive Vice President.
  • May administer contracts and agreements.
  • Perform miscellaneous job-related duties as assigned.
  • Coordinate domestic and international travel arrangements, both business and personal.

Knowledge, Skills, and Attributes

  • Skill in organizing resources and establishing priorities. Willing to travel
  • Advanced verbal and written communication skills and the ability to work with a wide range of constituencies in a diverse community.
  • Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects
  • Knowledge of office management principles and procedures.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Records maintenance skills.
  • High proficiency in Outlook, Word, Excel and PowerPoint. Database knowledge a plus
